Corporate photobooth: 7 questions to ask before you book

Two suppliers can quote the same price and deliver two very different events. Here are the questions we recommend you ask, including to us.

1. Who hosts the booth on the day?

This is the most decisive question, and the one most often forgotten. A booth without a host slows to a crawl as soon as a queue forms.

  • Is a host included, or a paid option?
  • Do they stay for the whole duration, or only at the start?
  • In which language do they welcome your guests?

2. Is the template genuinely branded?

A generic frame with your logo dropped in a corner is not personalisation. Ask for a mock-up before signing.

  • Do you receive a graphic proposal to approve beforehand?
  • Are the colours and typography of your brand guidelines respected?
  • How many rounds of revisions are included?

If the supplier asks you nothing about your brand, they’re selling equipment, not an experience.

3. How do guests get their photos?

  • Instant sharing via QR code, email or SMS, or sent the next day?
  • Is printing included, and in what quantity?
  • Can the download form support your contact collection, in compliance with the GDPR?

4. What happens when a queue forms?

At a cocktail reception, everyone arrives at the same time. Managing the flow is what separates a joyful experience from a queue that puts people off.

  • How many sessions per hour can the set-up handle?
  • Does the format accommodate groups, or only one or two people?

5. Who owns the images?

  • Do you receive all the files, in high resolution?
  • Can you use them freely on your social media and internal channels?
  • How is guests’ consent collected?

6. What space and technical requirements should you plan for?

  • Floor space needed, ceiling height, access for unloading.
  • Power supply and internet connection required.
  • Set-up time, and an installation slot compatible with the venue.

7. What is left after the event?

This is where the return on investment is decided. A service that stops at midnight costs you the same as one that feeds your communications for weeks.

  • How quickly is the full gallery delivered?
  • Do you receive participation and sharing statistics?
  • Are the formats ready to use directly on your social media?

In short

A good supplier answers these seven questions without hesitation, and asks you their own about your brand and your objectives. If the conversation is only about equipment and price, you’re not buying an experience.

Frequently asked questions

What budget should we plan for a corporate photobooth?

The price depends on the duration, the set-up and the level of personalisation. Always ask what’s included rather than comparing two headline prices.

How long should the experience stay open?

It depends on the number of guests and the flow of the evening. If a queue forms, first ask whether a longer session is enough before adding another booth.

Is a photo experience worth having at a trade show?

It works best at the entrance of the stand, paired with a reason to leave contact details.
